# Can My Employer See My Gemini Chats?

On a work Google account, yes. Any super admin can export your Gemini chats, and Vault can keep ones you delete. Who sees what, and what to tell staff.

Yes, if you use Gemini on a Google Workspace work account. Nobody can open your chats from the Admin console, but any super admin can export them with the Data Export tool, on every edition. On editions with Google Vault (Business Plus, Enterprise Standard and Plus, Education), anyone your company gives Vault privileges can search, read and export them too, including chats you deleted or ran as temporary if a Vault rule covers them. Keep private things on a personal account on your own device.

I haven't tested any of this in a live Workspace. It comes from Google's Admin, Vault and Gemini help pages, read on November 5, 2026. It isn't legal advice. [The Claude version](https://gabezen.com/blog/can-my-employer-see-my-claude-chats/) covers the same questions for Claude, and [all four tools side by side](https://gabezen.com/can-my-employer-see-my-ai-chats/) puts them in one table.

## Can a Google Workspace admin see my Gemini chats?

Not by clicking around the Admin console. There's no chat viewer there. Two tools do reach the text.

The first is the [Data Export tool](https://knowledge.workspace.google.com/admin/migrate/export-all-your-organizations-data). Google says it's "available in all Google Workspace editions," and its export ["includes a user's conversations with Gemini."](https://knowledge.workspace.google.com/admin/migrate/export-gemini-data) A super admin can export the whole company or chosen people. One detail surprised me: Gemini writes three draft answers to each prompt and shows you one, and the export "includes all three responses and so may include material that the user did not see."

The second is [Vault](https://knowledge.workspace.google.com/vault/search/use-vault-to-search-gemini-app), Google's eDiscovery tool. A Vault user picks up to 5,000 accounts or a whole department, and gets back a list of prompt and response pairs. Hovering over one shows "an expanded preview," so a Vault search lets someone read chats on screen without exporting anything. That's the closest Gemini comes to browsing.

*Chart: Every super admin can export. On editions with Vault, add whoever holds Vault privileges.*

| Who | Can they get your chat text? | What else they get |
|---|---|---|
| Your personal Google account | No Google route for your employer | Nothing through Google. A work laptop or network is another matter (below) |
| Any admin with reporting rights | No. [Audit logs](https://knowledge.workspace.google.com/admin/reports/gemini-for-workspace-log-events) record who used Gemini, when, in which app and from which device, with no prompt text | [Per-person usage](https://knowledge.workspace.google.com/admin/generative-ai/review-gemini-usage-in-your-organization): usage level, active days, usage by app |
| Super admin, any edition | Yes, by Data Export | Everything above |
| Vault user (Business Plus, Enterprise Standard and Plus, Education) | Yes. Search, on-screen preview and export, given Manage Matters, Searches and Exports | Holds and retention rules that keep chats past deletion |

Business Starter and Business Standard don't include Vault, though Google says to [ask its sales team](https://knowledge.workspace.google.com/vault/getting-started/google-vault-faq) about add-on licenses. So on the cheaper editions, the people who can read your Gemini chats are your super admins. On the bigger ones, add whoever holds Vault privileges. Google writes that Vault "is for administrators and legal personnel."

History is on by default and you can't turn it off. On a work account, Google says ["Keep Activity is on by default and can only be turned off by your account's Workspace administrator,"](https://support.google.com/gemini/answer/14620100) and chats are kept 18 months unless the admin picks 3 or 36 or turns history off. You "won't be able to view the retention period," only that your admin manages it.

## Can my employer see my deleted Gemini chats?

It depends on Vault.

Without Vault covering Gemini, deleting works. Google's [admin page on chat deletion](https://knowledge.workspace.google.com/admin/generative-ai/gemini-app/enable-temporary-chats-in-gemini-app) says "Gemini deletes this data," and the Data Export tool leaves out "deleted data, unless that data was retained or held by Google Vault policies." An export someone already downloaded stays downloaded.

With a Vault rule or hold covering Gemini, deleting hides the chat from you and nothing else. Since June 2026, Vault can [hold and retain Gemini app chats](https://workspaceupdates.googleblog.com/2026/06/google-vault-now-supports-retention-rules-and-litigation-holds-for-Gemini-app.html), and Google's own example is blunt: "If a user deletes a conversation or turns off their activity setting, but an active Vault hold requires retention, the data is hidden from the user but remains fully retained and visible to Vault administrators." On a [held account](https://knowledge.workspace.google.com/vault/holds/place-gemini-app-messages-on-hold), deleted messages "are not purged."

Your admin can also take the delete button away. In companies that use Vault for Gemini, deletion is off by default.

### Can my employer see my Gemini temporary chats?

Not without Vault. With it, yes. Google's [table](https://knowledge.workspace.google.com/admin/generative-ai/gemini-app/enable-temporary-chats-in-gemini-app) says that without Vault for Gemini, "Gemini does not log data for these chats." With Vault, "Gemini logs and retains data for these chats based on your Vault rules," and temporary chats start switched off.

Google tells you when this applies. With Vault for Gemini, temporary chats show this: "Your Gemini app activity might still be visible to your Google Workspace domain admins or Vault users for a period defined by the domain's Gemini retention rules."

## Can my employer see what I ask Gemini in Gmail and Docs?

Since late October 2026, Vault can [export side-panel conversations](https://knowledge.workspace.google.com/vault/getting-started/whats-new-in-vault), though it can't search, preview, hold or retain them. The Data Export tool also exports "Google Workspace with Gemini data," described as ["a complete record of prompts and the responses."](https://knowledge.workspace.google.com/admin/migrate/export-google-workspace-with-gemini-data)

Coworkers can't see them. Google says your side-panel chats are ["visible only to you,"](https://knowledge.workspace.google.com/admin/generative-ai/generative-ai-in-google-workspace-privacy-hub) even in a shared document. History there is ["kept forever"](https://support.google.com/docs/answer/16880047) by default, and the same page says "your administrator can't recover or access deleted conversations." The Vault export format has deletion timestamps in it, so I wouldn't lean on that sentence (see below).

## Will I know if my employer searches my Gemini chats?

Assume not. None of Google's pages describe a notice to the person being searched or exported. When a Data Export starts, ["all super admins receive an email,"](https://knowledge.workspace.google.com/admin/migrate/export-all-your-organizations-data) so with two or more super admins nobody exports quietly. On Enterprise and some Education editions, a super admin can require a [second admin to approve](https://workspaceupdates.googleblog.com/2025/12/protect-vault-actions-multi-party-approvals.html) each Vault export, but that's off by default, skips exports made through the API, and as I read it doesn't cover searching or previewing. Vault logs ["all Vault user actions"](https://knowledge.workspace.google.com/vault/getting-started/google-vault-faq), and you can't read that log.

## What Gemini usage can my boss see?

Per person, on Business, Enterprise and Education editions. The [user-level report](https://knowledge.workspace.google.com/admin/generative-ai/review-gemini-usage-in-your-organization) shows your overall usage level (high, medium, low or zero), active days in the last 28, days you hit a limit, and usage by app, including the Gemini app. It downloads to a spreadsheet.

Audit logs add the action, the app, the feature, your network (IP ASN and region) and device, searchable by anyone with the Audit & Investigation privilege. I found no Google feature that writes AI summaries of what employees discuss.

## What about Gemini Notebook and Code Assist?

NotebookLM is now [Gemini Notebook](https://knowledge.workspace.google.com/admin/generative-ai/gemini-notebook/turn-gemini-notebook-on-or-off-for-users). It isn't in Vault's list of supported services. Admins can export its data with the Data Export tool, and it got [audit logs in September 2026](https://workspaceupdates.googleblog.com/2026/08/introducing-comprehensive-audit-logs-for-Gemini-Notebook-in-the-Workspace-Admin-console.html). In Google Classroom, teachers can now read [AI summaries and individual chat transcripts](https://workspaceupdates.googleblog.com/2026/10/teacher-led-gemini-notebook-in-google-Classroom-now-offers-insight-summaries-for-educators-and-updated-sharing-settings-for-admins-including-trusted-domains.html) of students' chats with notebooks the teacher assigned, and students see a notice.

On Gemini Code Assist Standard or Enterprise, a Google Cloud admin can turn on [logging of "user input, contextual information, and responses"](https://docs.cloud.google.com/gemini/docs/configure-logging) in the IDE, attributable to each user. If you code with it, ask whether that's on.

## Can my employer see my personal Gemini account on a work laptop?

Through Google, I found no route. A personal account's activity is yours to manage, and Workspace admin tools only reach accounts the company owns. The laptop and the network are different.

- **Blocking it.** Google gives admins two ways to [block personal Google accounts](https://knowledge.workspace.google.com/admin/security/block-access-to-consumer-accounts): a sign-in restriction on ChromeOS devices, and a proxy header that blocks personal accounts on the office network. You might see "This account is not allowed to sign in within this network." The page doesn't name Gemini, but Gemini runs on google.com, so expect it to be covered.
- **Watching it.** With Chrome Enterprise Premium, Google says IT can ["see when a user successfully signs into"](https://security.googleblog.com/2024/04/prevent-generative-ai-data-leaks-with.html) AI websites and "warn, block or monitor" pastes and uploads into them from managed browsers. Google doesn't say whether those rules treat a personal login differently.

## Can I take my Gemini chats with me when I leave?

Probably, if your admin allows Google Takeout, which is [allowed by default](https://knowledge.workspace.google.com/admin/users/advanced/allow-or-block-google-takeout) on Workspace (not on K-12 school accounts). Google's [Takeout steps](https://support.google.com/gemini/answer/16920332) put chats under My Activity, then Gemini Apps. No page I found confirms that for work accounts, so try it well before your last day. Once IT deletes the account, Vault's copy goes too, and a [former employee's data stays](https://knowledge.workspace.google.com/vault/getting-started/google-vault-faq) only if the company archives or suspends the account instead.

## Is Gemini more private than Claude at work?

I have a stake: I sell Claude setup for small teams. Each side wins somewhere for the employee, and the evidence is all above.

Gemini is better on temporary chats and notice. Without Vault, a temporary chat isn't logged at all, and with Vault you get a banner saying admins might see it. Claude's incognito chats land in the Primary Owner's export with no banner. Every super admin hearing about a Data Export is a safeguard Claude Team doesn't have. And I found no Gemini feature like Claude Enterprise's AI-written reports on what staff discuss.

Gemini is worse on reach. On Claude Team one person can export. On Workspace, every super admin can, on the cheapest edition, and the export includes drafts you never saw. On Business Plus and up, Vault users can read chats on screen and keep the ones you deleted. You can't turn history off either.

## What should I tell my team about Gemini privacy?

Paste this into a message and fill in the brackets. Delete anything untrue.

> Your Gemini chats on your work account belong to the company. Nobody can browse them in the Admin console, but our super admins ([names]) can export them, and every super admin gets an email when an export starts. [We use Vault: [names] can search and read Gemini chats, and our Vault rules keep chats for [period], even ones you delete or start as temporary. / We don't have Vault: deleted chats and temporary chats are gone.] Chats are kept [18 months] unless deleted. Admins can see per-person usage, such as how often and in which apps you use Gemini. We'd only search chats for [the reasons you'd use], and [second name] would know first. A personal Google account isn't ours and we can't see it through Google, but this laptop and network are company equipment, and [our monitoring policy] applies.

[The UK's ICO](https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/employment/monitoring-workers/specific-data-protection-considerations-for-different-ways-or-methods-of-monitoring-workers/) expects advance notice and a clear policy before monitoring message content (applying that to AI chats is my analogy), and [New York](https://www.nysenate.gov/legislation/laws/CVR/52-C*2) requires written notice of electronic monitoring on hiring. Ask a lawyer about where you are.

## What I couldn't confirm

- **Takeout on a work account.** Google says the Data Export tool exports "the same data that's available with Google Takeout for users," and that export includes Gemini chats, so I expect Takeout does too. No page says so directly.
- **Deleting on the phone.** One Google page says work users "cannot delete chats" in the Gemini mobile app. The admin page has a deletion setting with no mobile caveat. Try it.
- **Deleted side-panel chats.** The user page says admins can't get them back. The Vault export format has a "deletion_timestamp" field. Both can be true if deleted items are purged before any export, but I can't tell.
- **What "uses Vault for Gemini" means.** The temporary-chat page switches behavior on it without saying whether Vault licenses are enough or a Gemini rule has to exist.
- **Gemini Notebook chat history.** Google's privacy hub says Notebook prompts aren't kept after the session, and the September audit-log post mentions stored "chat histories."

A super admin can settle the first and fourth with a test: put a made-up word in a throwaway user's normal chat, temporary chat and deleted chat, run a Data Export (and a Vault search, if you have it) on that user, search the results, then delete the download.

## What should I do next?

If you run the Workspace account, count your super admins and Vault users, then send the team message above this week.

If you don't, send this page to whoever does and ask them to fill in the brackets in [the team message](https://gabezen.com/blog/can-my-employer-see-my-gemini-chats/#what-should-i-tell-my-team-about-gemini-privacy).

Compare [all four tools side by side](https://gabezen.com/can-my-employer-see-my-ai-chats/), or use [the setup planner](https://gabezen.com/setup/) to plan a rollout, no email needed.
