Hiring an Ops Person vs Claude, Set Up for You

A good operations hire learns where everything is after a few months and brings judgment no AI has. My setup does the part of that job that's finding things and drafting the follow-up, overnight, for a one-time setup fee. Plenty of teams end up with both.

Written by Gabe Pérez, who sets up Claude for small teams. Prices checked October 26, 2026.

Hire someone if

  • You have a full job's worth of decisions, vendors and people to manage
  • You need someone who can push back on you
  • The work happens in the real world, beyond the inbox

  • Most of the work is finding answers and drafting replies
  • Leads and clients wait on the one person who knows
  • You want what your company knows to stay when people leave

Where a Person Wins

What a good hire does better

  • Judgment on things nobody wrote down.
  • Relationships with clients and vendors.
  • Telling you when you're wrong.

Where my setup falls short

  • It's Claude only. If your team won't give up ChatGPT or Copilot, you'd pay for both.
  • It moves with Anthropic. When they change a feature, the setup has to change with it: your team does that, or I do on Release care.
  • One person does it: me. You're betting on my calendar, which is why the guarantee comes with all your money back.
  • It's priced for one team of up to 20. A bigger company, on Claude Team or Enterprise, gets scoped on a call, and needs someone in IT who owns permissions.
  • It drafts and never sends. Someone still reads every proposal before it goes out.
  • If someone on your team already lives in Claude and has the hours, coaching for $1,997 gets you most of the way.

We used AI to onboard three hires with kits written from docs we already had. It caught stale docs before they did, and it got day one wrong. A brain makes a new hire faster. It doesn't replace one. How the onboarding went.

Questions About Hiring

Help Topics
_ □ ×
Will your Claude setup replace someone on my team?
It replaces the hours people spend digging for answers and writing first drafts. Most teams spend those hours on work they were hired for.
Can it help onboard a new hire?
Yes. The two training sessions are recorded, so a new hire can watch them on day one, and Claude answers their questions from your manual with the source attached, so they stop waiting on you.
What happens when someone leaves?
What they decided stays in the company manual and the client projects, in accounts you own, instead of in their head or their private AI memory.
